The ideal candidate should have the ability to oversee the schedule of the Addiction medicine team to maximize patient access to care, especially medically assisted treatment and ensure efficient patient flow, collaborate with Behavioral health and medical services to schedule patients with the addiction medicine team and assist with enrolling patients into insurance eligibility programs; make follow-up calls for providers; calls to confirm patient appointments, greets and provides customer service to patients and communicate clearly on the phone while accurately taking  and delivering messages.  Sound interesting? The Addiction Medicine Team Administrative Coordinator (AMAC) is primarily responsible for coordination of the Addiction Medicine Team, supporting the team in providing access to addiction services for patients, and management of the Addiction Team panel of patients.  The AMAC must be a good team player, flexible, and committed to the success and mission of the team. The AMAC
will oversee the operations the Addiction Medicine Team. The AMAC will work in collaboration with clinic operations staff of the Integrated Care Center as well as Behavioral Health programs staff to ensure that patients with drug addiction disorders have access to Medically Assisted Treatment via the Addiction Medicine Team.  The AMAC will be responsible for providing customer service that addresses the particular needs of patients suffering from addiction use disorders. The AMAC will be mentored by the clinical members of the Addiction medicine team to understand the basics of addiction.
The AMAC will assist with day-to-day functions, which may include patient intake/registration, eligibility for insurance and health plans, scheduling, training of interns & volunteers in the Addiction Medicine Team functions, and participate as active member of the integrated care team.

 

Key Responsibilities

Administrative Responsibilities:

  • Oversee the schedule of the Addiction medicine team to maximize patient access to care, especially medically assisted treatment, and ensure efficient patient flow. This may include learning various techniques such as active management of the schedule (tetrising) and ensuring the provider is in clinic a scheduled.
  • Collaborate with Behavioral health and medical services to schedule patients with the addiction medicine team.
  • Schedules addiction medicine team appointments and directs calls.
  • Assists with enrolling patients into insurance eligibility programs.
  • Makes follow-up calls for providers; calls to confirm patient appointments.
  • Greets and provides customer service to patients.
  • Communicates clearly on the phone and accurately takes and delivers messages.

Clinical Support Responsibilities:

  • Huddle with the addiction medicine team or specific providers as directed.
  • In collaboration with the addiction medicine team assist in panel management of patients being treated for addiction use disorder.
  • Actively participate in the addiction medicine QI/QA team. 

Coordination Responsibilities:  

  • Active participation in integrated team based care which may include receive and return telephone call from patients and pharmacies.  
  • Assist in scheduling patient appointments.
  • In coloration with the Addiction Team Medical Assistant, oversee patient flow and ensure smooth, efficient patient flow throughout patient’s clinic experience via patient centered care. Be the main point of contact/communication for internal and outside resource for referral of patients to the addiction medicine team or other requests.
  • Support the addiction medicine providers regarding incoming-calls from pharmacies and ensuring patients are supported in medication adherence including routing calls the appropriate provider and ensuring follow up.
  • Refer patients to appropriate internal and external resources.
  • Act as the main point of contact between behavioral health services as well as external resources and the addiction medicine team for clients who are interested in Medical Assisted Treatment.                            

Documentation Responsibilities:

  • Performs general administrative tasks; filing, organizing, data entry and billing.
  • Assists in maintaining computerized appointment system.
  • Processes patient/client :data entry for company various electronic systems in accordance with guidelines established by HealthRIGHT360 to satisfy internal and external evaluating requirements.
  • And, other duties as assigned.

Education and Knowledge, Skills and Abilities

Education and Experience Required:

  • Bachelors level degree from accredited United States College or university.
  • Prior experience in front desk reception, administrative and/or customer service

Desired: 

  • Commitment to working with the uninsured and marginalized populations especially patients suffering from substance use disorder and addiction.
  • Team oriented, dependable and patient centered and have an strong interest in the field of addiction
  • Strong advocate for a harm reduction approach to addiction treatment
  • Experience working in safety net or with programs suffering from dual or triple diagnosis, most commonly mental illness and substance use disorder.
  • Excellent communication skills.
  • Able to work well in an integrated care team.
  • Certification in basic life support (CPR) or completed certification within 2 months of employment

  • Commitment to working with diverse communities, including communities of color, homelessness, and users of illegal substances, HIV/AIDS patients and persons with mental health concerns
