Administrative Specialist

Job Overview

Prevention & Aftercare (P&A) is a comprehensive child maltreatment prevention and aftercare program in the San Gabriel Valley. Through collaboration with DFCS, subcontracted agencies, community stakeholders, and employees, this position will support the program to provide child abuse prevention services to strengthen families. 

Key Responsibilities

A. Work closely with Managing Director of Prevention and DV Department. 
B. Responsible for administrative support tasks related to the P&A program.
C. Maintain and update logs and reports with program and client information.
D. Complete necessary documents to support the month end report to funder.
E. Collaborate with subcontractors to collect monthly reports and survey data.
F. Provide administrative support for DCFS Directed projects and activities. 
G. Provide administration support for P&A special events and structured family activities.
H. Maintain expense reports, scan receipts, and keep originals on file. 
I. Ensure that all documentation is completed in a timely and accurate manner.   
J. Provide high quality Customer Service with staff, subcontractors, and DCFS.
K. Remain in compliance with all environmental, safety and health requirements.
L. Maintain confidentiality in compliance with agency, HIPAA and DCFS standards.
M. Comply with all agency’s policies, procedures, and codes of ethics.
N. Attend internal and outside meetings as assigned.
O. Work collaboratively with all level staff across all Prototypes/Health Right 360 programs.

And, other duties as assigned by manager.

Education and Knowledge, Skills and Abilities

·         Minimum of three years’ experience providing administrative and data support.

·         Knowledge of and experience with providing customer service and administrative support.

·         Strong computer skills, including Outlook, Excel, Word and PowerPoint

Education and Experience

Desired: Bachelor degree

Background Clearance


-CDCR fingerprint clearance

-Must not be on parole or probation for a minimum of two years



-Culturally competent and able to work with a diverse population

-Strong proficiency with Microsoft Office applications, specifically Word Outlook and internet applications

-Strong organization skills, attention to detail, and follow-through.

-Ability to work independently, take initiative, and have the ability ask clarifying questions when needed.

- Great communication skills – both verbally and written; strong professionalism.
