Director of Clinic Operations - ICC Medical Clinic

Job Overview

The Director of Clinic Operations will play a key role in ensuring overall efficient operations of the agency’s medical and dental clinics and resource center. The Director of Clinic Operations will be responsible for the organizational day-to-day needs of clinic operations, and direct supervision of the administrative staff. The Director of Clinic Operations will develop, execute and oversees aspects of service delivery, quality assurance, governmental regulations, licensing, regulatory compliance, program policies and practices, assess and addresses client access, needs, and issues. The Director of Clinic Operations will also provide strategic support for the clinic in practice innovation and represent the clinic to external organizations. The position will be hands on, interacting and coordinating with management, staff and patients. The Director of Clinic operations will be a key champion in team building, work, and collaboration in clinic and practice operations as well as Quality Improvement effort. May be required to work evenings or weekends.

Key Responsibilities

Leadership responsibilities:

  • Provides leadership for strategic innovation in clinic process and practices.
  • Supports and actively participates in clinic leadership team.
  • Provides strategic vision and direction for the clinic, operations, and services based on community need.
  • Acts as champion and lead in collaborating with organizational departments such as QI, compliance, IT, and fiscal.

Administrative Responsibilities:

  • In conjunction with the VP of Medical Services, ensure that all administrative policies and procedures are current and make appropriate updates.
  • In conjunction with care teams, continually assess and adjust patient flow and practice processes for increased efficiencies.
  • In conjunction with managers, continually assess programs for efficiencies and improvements. Ensure collaboration between service lines and programs of ICC centered in patient centered care. 
  •  Coordinates with Call Center Manager, Training Department, compliance, IT, and other internal departments to ensure efficient and effective clinical services.  
  • Addresses patient grievances and behavioral issues and develops corrective action plans as necessary.
  • In conjunction with the Medical Director, Dental Director, BH Director, and Director of Addiction Medicine, leads team staff meetings to address personnel matters, operational issues, and to assist in resolving problems that may exist.
  • Ensure billing is in compliance with grants, licensing and funding requirements.
  • Direct supervision and mentoring of subordinate staff including Clinic Managers, Resource Center Manager, ID team Manager, I&Q Clinic Manager.
  • Hiring, training, motivating, evaluating, disciplining, and terminating. Ensure that appropriate training is provided to all staff and volunteers regarding cultural humility.
  • Collaborates, facilitates, and coordinates integration primary care, dental, behavioral health, psychiatry, MAT, Resource Center, Call center and all other ICC service lines. Develop short and long-term programmatic and strategic plans in conjunction with Chief Medical Officer, DMO, Vice President of Medical Services, Medical Director, Dental Director, BH Director, and Addiction Medicine Director.
  • Collaborates, facilitates, and coordinates integration operations between clinic services and behavioral health residential and outpatient programs.
  • Ensures that all operations support department metrics.
  • Participates in clinic budgeting and manages the clinic budget. 

Education and Knowledge, Skills and Abilities

Education and Experience Required:

  • Bachelor’s in related healthcare administration field or Nursing.
  • Minimum of 3 years community clinic program management experience or equivalent.
  • Experience in a Supervisory role.
  • Extensive experience managing government and private contracts, including FQHC programs.
  • General knowledge of clinic billing and various health insurance programs.
