Job Overview

Founded in 1979, Lyon-Martin Health Services provides excellent primary care and mental health services to cis-gender women and transgender people with sensitivity to sexual orientation and gender identity, regardless of ability to pay. Since 1999, the Women’s Community Clinic has used an innovative workforce development-based business model to provide affordable and accessible health care services to Bay Area women and girls.  In the spring of 2018, while preserving each organization’s unique specializations and orientation to care, Lyon-Martin Health Services and Women’s Community Clinic have come together under one roof.  This facility allows both clinics to expand their service offerings and provide comprehensive and welcoming care to cis-gender women and transgender people in one space.

The Medical Assistant (MA) is an essential clinical team member who provides high quality, client-centered care to our clients. They support the flow of our clinical care from the moment patients enter the clinic to the time they leave by participating and being cross-trained in a wide range of duties: front desk check-in and check-out, patient rooming and vitals collection, laboratory support (including phlebotomy and injections), patient education, and clinician support. They participate in quality control, help identity needed preventative health care for patients, submit and follow-up on prior authorization for patient medications, check patient’s insurance coverage and/or eligibility for coverage programs, and follow up on medical record requests and lab results. The medical assistant works closely with the whole clinical team (including our volunteer health educators) to monitor provider and clinic “flow” and ensure that the client receives all necessary care during and between visits by prioritizing tasks for quality and efficiency and ensure good communication between the front and back office.

Key Responsibilities

Front Desk

  • Provide excellent customer service to all patients, in all facets of communication they have with the clinic.
  • Greeting and checking in all patients, preparing charts to completion before their visit including but not limited to updating information, proper paperwork and chart organization and eligibility screening.
  • Respecting patients’ preferred names and pronouns and ensuring that this information is communicated to the team and entered appropriately in their chart
  • Checking out all patients ensuring that all patient care and follow up needs have been completed and payment occurs via self-pay or billing a third-party payer.

Eligibility and Scheduling

  • Check client eligibility for clinic services
  • Refer ineligible clients to more appropriate providers
  • Enroll patients in appropriate public benefits coverage as needed, including FPACT, CDP, and Healthy San Francisco.
  • Communicate continuously with the rest of the team regarding schedule changes
  • Collaborate with providers to reschedule appointments when needed
  • Assist Medi-Cal patients with switching managed care plans and/or PCP to make us the medical home
  • Train as enrollment coordinator helping clients to enroll in health insurance

Medical Assisting

  • Room clients for medical providers. Gather initial history, collect vitals, set expectations for interaction with provider
  • Accurately enter all relevant client information into Electronic Health Record
  • Run in-house lab tests such as pregnancy tests, urinalysis, and Rapid HIV; package labs to be sent out
  • Perform electrocardiograms (EKG), visual testing, peak flow meter, administer nebulizer treatments at provider direction
  • Provide health education and materials to clients, including health-related issues such as: insurance coverage, referrals, follow-up care, and primary care topics.
  • Set up and assist for procedures such as IUD insertions, colposcopy, and endometrial biopsy
  • Draw up and administer medications, including vaccines, PPD placement and venipuncture
  • Manage provider schedule and clinic flow
  • Support clinicians with client follow up as needed

Clinic preparation

  • Participate actively in pre-clinic team huddle meetings
  • Set up exam rooms before visits and clean exam rooms after each visit
  • Clean and sterilize lab and medical equipment and conduct quality control checks
  • Manage vaccine inventory and quality control
  • Conduct inventories of rooms, laboratory and medicine cabinets
  • Restock rooms with supplies as needed
  • Follow up with external locations to retrieve results and handling testing issues

Medications

  • Handle incoming requests for prescription refills and/or new prescriptions by directing to appropriate staff
  • Direct patient to appropriate locations to receive Plan B
  • Gather information for and submit prior authorization and/or TAR requests to insurance/pharmacy
  • Monitor for insurance responses and coordinate follow up with pharmacy and client

Worklist Management

  • Maintain waitlist to ensure appointments are fully utilized
  • Manage recalls list to ensure clients return for follow-up care
  • Support call center by making reminder calls for upcoming appointments as needed
  • Verify client coverage for upcoming appointments

Client Records

  • Respond to medical records requests from clients, providers and other HIPAA-approved entities
  • Process incoming medical records and attach records to patient’s chart
  • Outreach to new clients assigned to us by Medi-Cal managed care plans
  • Assist with coordination of client referrals

Medication Abortion

  • Screen clients interested in medication abortion (MAB) for appropriateness of and eligibility for services
  • Provide education to clients about MAB
  • Perform initial registration for new patients interested in MAB and schedule appointments

General Communication Coordination

  • Provide continuous client-centered care and customer service
  • Model and uphold exceptional communication etiquette standards
  • Conduct HIPAA-compliant communication with clients
  • Respond to appointment requests, refill requests, clinician call backs, and other client needs
  • Handle incoming faxes by directing communication to appropriate person in clinic
  • Monitor outgoing faxes to ensure completion
  • Send mail to client as appropriate
  • Receive incoming mail and packages and triaging as appropriate

General

  • Document all actions taken in a clear and concise manner in patient chart so that others can easily understand and follow up appropriately
  • Train other staff on duties as needed
  • Support clinic administrative tasks including, but not limited to, updating clinic forms, data entry, and front desk resources
  • Provide IT support backup and troubleshooting related to clinical care processes
  • Maintain confidentiality and HIPAA standards at all times
  • Other duties as assigned

Education and Knowledge, Skills and Abilities

QUALIFICATION REQUIREMENTS

  • Commitment to the mission and goals of Lyon-Martin Health Services and the Women’s Community Clinic
  • High school graduate or equivalent
  • English fluency (verbal and written) required
  • Basic life support (CPR) certification required (can be completed post-hire)
  • Background clearance required, must not be on active parole or probation
  • Experience with transgender and/or gender non-binary populations preferred
  • Experience providing birth control and STI counseling preferred
  • Experience with trauma-informed and harm-reduction models of care preferred
  • Spanish fluency (verbal) preferred

OTHER KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent computing and data entry skills.  Experience using Microsoft Office programs required.   Experience using an electronic health record system preferred.

Compensation: $20.00-$20.50
