Operations Manager for Volunteer Clinic

Job Overview

Haight Ashbury Medical Clinic is going back to it's roots! The volunteer clinic is located in the historical Haight Ashbury Clinic. The volunteer clinic will provide services to the homeless, uninsured, and underinsured in the Haight-Ashbury neighorhood. The target population are those suffering from substance use disorder, mental illness, and physical illness. The clinic will provide both episodic and ongoing care and coordinate care for patients to other clinic sites based on need.

Under the direction of the Director of Volunteer Clinic and Mobile Services Operations, the Volunteer Clinic Operations Manager will play a key role in starting up and ensuring overall efficient operations of this volunteer clinic. The Volunteer Clinic Operations Manager will be responsible for management and oversight of the volunteer clinic. The Volunteer Clinic Operations Manager will develop, execute and oversee aspects of service delivery, quality assurance, governmental regulations, licensing, regulatory compliance, program policies and practices, assess and addresses client access, needs, and issues. The position will be hands on, interact and coordinate with management, volunteers and patients. 

Key Responsibilities

Volunteer Management duties:

  • Recruit and bring on volunteers for various roles in the clinic.
  • Reach out to medical and other academic centers to recruit students as volunteers for the clinic.
  • Schedule volunteers to ensure adequate patient care access.
  • Oversight and supervision of all volunteers.
  • Main point of contact for volunteers.

Administrative/Operational duties:

  • Ensure that all front office policies and procedures are followed
  • Continually assess and adjust patient flow for increased efficiencies
  • Coordinate administrative and clinic maintenance responsibilities such as patient access, patient education sheets, patient experience surveys, client registration and other special projects
  • Assist the Director of Clinic Operations in the support and manage Electronic Medical Records ensuring compliance with all applicable laws and regulations

Organizational Planning/Quality Assurance Improvement 

  • Facilitate on-going organizational development, team building, and capacity building
  • Continually assess the Program’s strengths and weaknesses as well as the changing client communities and service needs

Clinic Management

  • Responsible for direct supervision of all volunteer staff
  • Coordinates volunteers to ensure operational efficiency
  • In conjunction with the Director of Volunteer Clinic and Mobile Services Operations, leads team volunteer meetings to address personnel matters, operational issues, and to assist in resolving problems that may exist
  • In conjunction with the Director of Volunteer Clinic and Mobile Services Operations, establish procedures for reception, intake, eligibility determination, and medical records filing, including scheduling of staff and task management
  • Managerial activities may include but are not limited to, participation in recruiting, training, motivating, evaluating, and reviewing volunteer staff.
  • May serve as Director in absence of Director of Volunteer Clinic and Mobile Services Operations.

Education and Knowledge, Skills and Abilities

Education and Experience


-Bachelor’s in related field

-Minimum of 3 years establishing and running a volunteer clinic model

-Commitment to and experience with a volunteer based agency

-Experience in a Supervisory role

-Experience participating in and leading organizational change and re-structuring

-Excellent leadership, organizational and communication skills

-Commitment to providing nonjudgmental quality health care to those in need

-Experience and commitment to working with diverse communities


-Master’s degree in related field

Background Clearance


-Must not be on active parole or probation 



-Culturally competent and able to work with a diverse population

-Strong proficiency with Microsoft Office applications, specifically Word Outlook and internet applications
