HealthRIGHT 360 is currently looking to fill a Administrative Assistant our Women's Adult Outpatient program in San Francisco, CA! The ideal candidate is computer savvy, organized, thorough, highly detail-oriented and has experience in a combination of the following areas: administration, clerical, billing, or other supportive roles in non-profit management. The Lee Woodward Counseling Center Outpatient Program is specifically designed for cis-female, transgender women, and gender non-conforming participants who struggle with substance use disorders, mental health issue/co-occurring disorders, and criminal justice involvement. This position requires an ability to maintain strict confidentiality and handle information with excellent customer services skills, tact, and diplomacy. In this position you will gain invaluable experience working with a diverse population in a harm reduction and trauma-informed treatment setting as you help clients navigate needed mental health and substance use disorder services to reach health and recovery. HealthRIGHT 360 has provided outpatient services for behavioral health disorders since 1985. The San Francisco Outpatient Program is specifically designed for people who struggle with substance use disorders, mental health issue/co-occurring disorders, and criminal justice involvement. The Outpatient Program works with high-risk populations from a variety of backgrounds providing trauma-informed care aimed at reducing the harmful impacts of substance use. Our programs are open and welcoming to adult participants of any gender identity. We accept the majority of participants who seek Outpatient treatment; including walk-in’s, referrals from other agencies, and step-down transitional clients from residential treatment programs. Participants and their counselors work collaboratively to design an integrated, individualized, strengths-based treatment experience geared towards addressing each client’s specific needs and goals.

Key Responsibilities

Administrative and Customer Service Responsibilities:

  • Provides general office administrative and secretarial support including but not limited to electronic health record data entry, word processing, answering telephones, checking messages, greeting clients and visitors with courtesy and respect, handling general inquiries, distributing mail, faxing, copying, etc.
  • Works closely with the Outpatient and Program Management teams to provide clerical support as needed.
  • Providing client support in the milieu with directing client to the proper group, answering program related questions, other customer services related duties.
  • Develops, transcribes, and distributes monthly minutes, reports, and/or general information as needed.
  • Assit with managing and deescalating crisis in the milieu.

Facility Responsibilities:

  • Works as part of an integrated, multi-disciplinary team.
  • Helps set up and serve meals to program participants.
  • Coordinate meal deliveries to the program and sets weekly menu.
  • Arranges/assists/sets-up/attends meetings, trainings, conferences, for staff.
  • Maintains general office area and office/kitchen/IT supplies inventory and orders.
  • Coordinates facility and maintenance issues with the help of other agency departments.

Data and Compliance Responsibilities:

  • Provides data entry in electronic database systems including but not limited to participant data, billing, and reports.
  • Assists in maintaining confidential files in both physical and electronic forms in accordance with guidelines established by HealthRIGHT 360 to satisfy internal and external evaluating requirements.
  • Managing client attendance and verification sheets.
  • Assists management with the reconciliation of data.
  • And, other duties as assigned.

  • Able to work within a frequently changing project scope while maintaining overall direction and structured priorities.
  • First Aid Certified within 30 days of employment.
  • CPR Certified within 30 days of employment.
  • A valid California driver’s license.
  • Valid Food Handlers Card.
  • Must not be on active parole or probation.

In compliance with the California Department of Public Health's mandate, by September 30, 2021, all employees must be able to provide proof of COVID-19 vaccination. Medical and religious exemptions are available.

Compensation: $42,000.00
Type: Hourly/ Non-exempt
