The ideal candidate has experience working in a fast paced office environment, substance abuse or mental health environment and can manage client/caller crisis. Prototypes Women's center is a 180 bed residential facility for women and women with children. We provide comprehensive substance use disorder, mental health, and psychiatric care by an interdisciplinary team of professionals. Treatment episode ranges in time from 60 days to 6 months. Prototypes is a fast-based environment 

Key Responsibilities

Utilize Front Office systems to ensure the efficiency of front office and to ensure excellent customer service.

Operations of Front Office:

  • Answer phones, transfer calls, take messages
  • Check clients in/out, greet and sign-in guests, announce arrival of clients and guests to appropriate staff
  • Confirm current phone numbers for clients at check-in
  • Monitor restroom and administrative program keys
  • Monitor bus token and postage inventory
  • Coordinate Outpatient appointments with staff

Assist with maintaining psychiatrist’s weekly schedule.  Duties may include

  • Print daily appointment schedule for psychiatrists
  • Update appointment tracking on server
  • Call clients to remind them of their appointments with the psychiatrist
  • Prepare note documentation
  • Provide daily No-Show/Cancelation report.
  • Provide assistance as necessary to the psychiatrist and nursing staff.
  • Assist Office Manager to collect and maintain daily/weekly staff schedules.
  • Distribute faxes and other communications to staff boxes
  • Receive all outgoing mail for pick up
  • Receive deliveries and processes returns
  • Assist Office Manager to maintain room use schedule for Conference Room and Group Rooms
  • Monitor and keep attendance records for clients and staff.
  • Maintain cleanliness of staff lounge, workroom, lobby

Education and Knowledge, Skills and Abilities

  • Must have positive attitude, good people skills, good telephone skills, ability to work well with a wide variety of people successfully, good front office demeanor, and appropriately manages multiple tasks.  
  • Excellent time management skills, strong organizational skills, good self-monitoring skills and a high degree of initiative.
  • Must be computer literate with typing skills of 45-60 wpm.  
  • Fluency in Spanish required.  
  • Must have current CA driver’s license and current automobile insurance
